Revenue operations team
A growing sales team ran its pipeline through five tools and a great deal of copying and pasting.
- Client
- Revenue operations team
- Timeline
- Eight weeks
- Discipline
- Automations
- Scope
- Workflow architecture, Automation design, Product UX, Integration planning
01The brief
Leads waited hours for a first reply, context lived in people’s heads and nobody could say where a deal had stalled. Every new tool added another place to look.
Workflow editor01 / 0302What we built
A visual workflow layer that qualifies inquiries, enriches context and routes each opportunity to the right person, with a human checkpoint before anything reaches a client.
Approvals on the go02 / 0303How it connects
Forms, inbox, CRM and team chat feed one flow. Exceptions surface in the channel the team already watches, with the record one click away.
04What changes
- Every inquiry gets a same-day reply.
- The pipeline shows where each deal is and why.
- New steps are added in the editor, not in a meeting.

Bidwell
Freelance development studio
The studio answered job posts every day. The best opportunities often got the most tired version of the pitch.

- Timeline
- Four weeks
- Discipline
- Automations
- Scope
- Process mapping, Agent design, Prompt and voice tuning, Review queue
01The brief
Every proposal was written from scratch. Relevant case studies were buried in old folders, and by the time a strong draft was ready the post had already filled up with replies.
Proposal pipeline01 / 0302What we built
A pipeline that scores new posts against the studio’s strengths, pulls matching case studies from its archive and drafts a tailored proposal in the studio’s own voice. A person reviews and sends.
Review queue02 / 0303How it connects
Job feeds, the case study archive and the proposal template sit in one flow. Drafts arrive in a review queue, and every sent proposal is logged against the outcome.
04What changes
- Proposals go out within the hour the post appears.
- Every draft cites relevant work instead of a generic portfolio.
- Writing time goes to the posts worth winning.

B2B services firm
The sales team bought lists, cleaned them by hand and still called the wrong companies.

- B2B services firm
- Timeline
- Five weeks
- Discipline
- Automations
- Scope
- Data sourcing, Scoring model, Workflow build, CRM hygiene
01The brief
Prospecting took two days a week. Data went stale between the spreadsheet and the CRM, and nobody trusted which accounts were actually a fit.
Scored pipeline01 / 0302What we built
A pipeline that pulls companies from directories, finds the decision maker, scores fit against the firm’s best clients and writes a first-touch message for review.
Lead card on mobile02 / 0303How it connects
Directories, enrichment, the scoring sheet and the CRM run as one flow. Duplicates are caught by identity, not by name, and every lead keeps its source.
04What changes
- Monday starts with a scored list, not a blank sheet.
- The CRM holds one clean record per company.
- Reps call fewer accounts and better ones.
